
Tournament Helpers Info
Firstly, welcome to the team, or welcome back!
We are happy you are joining our band of merry helpers.
We raise much needed funds for the club, but also, we organise the biggest and best outdoor tournament in the country and it is awesome!
Please find below all the information you need for our weekend together.

When?
all year round
Your committee needs you! The more of us to organise things, the smaller the jobs. We meet half a dozen times a year over zoom and our committee are fantastic. Please join us. Talk to us at the weekend, it’s an easy and very rewarding thing to be part of.
the week of the event
Thursday
There will be activities going on throughout the day, if you are available to help, please speak to Phil. Otherwise we will have a meeting at 7-30pm at Imperial Sports Ground - a quick catch up and the all important hugs! Then we are off - with a brief rundown of what is about to hit us and then as much as we can do to get things set up for the weekend. If you wish to come to the venue before 7.30pm we would love to see you.
Friday
From about 9am there will be bodies at the venue setting up. Tasks will include setting up the marquee- emptying the vans of the kit, setting up the kitchen area (Ben), the office (Kate) and the fields for camping and playing (Phil).
Things to set up include gazebos, lights, nets, tables and chairs in the marquee, power, speakers, signs, notice boards, bins and much more.
Grab some food as and when you are hungry from the marquee.
Players/campers will be allowed on site from 3pm, anyone arriving earlier can park elsewhere until then.
Arrivals gazebo will be set up ready and then from 3pm until about midnight, our guests will arrive.
Depending on what time you are with us, you will be given a voucher to get some food from any of the mobile vendors or the main venue for your evening meal.
Drinks are available in the marquee at all times.
Saturday
Gates open again at 7.30am. Saturday arrivals will want to get sorted before play starts at 9am, so if you are on the early shift, get some brekkie and a drink before heading out for arrivals.
Manor Farm car parking needs supervising until about 10am
Courts should be getting set up, folders and whistles, ready for the days activities
Captains meeting is 8.30am outside the marquee, team/player registrations happen then
General maintenance is then done to keep games going, to manage results, sell t-shirts and generally ensure everything runs smoothly.
Lunch at 12-30
Afternoon tea at 3pm
Games should slow down around 5-6pm and then the office is super busy collating all the scores to determine who plays where on Sunday
We will eat together at about 7.30-8pm.
There will be a disco at the main venue, grab a drink, relax, have a dance and shake off the day
Sunday
Gates open again at 7.30am. Day arrivals at Manor Farm can park themselves, so it’s a redirect affair at the main gate.
Captains meeting at 8.30am and they are off again, general maintenance, result processing etc.
Lunch at 12-30
Afternoon tea at 3-30pm
From about 3pm the games will slowly start to finish; Kate and her team will be busy processing the results to prepare for the presentation of trophies/awards.
At this point - clear up/break down will begin. Anything we can start to pack away, without it seeming like we are to our guests, will start to be broken down and set aside ready for packing away.
IMPORTANTLY from 5-7pm we need as many pairs of hands as possible to get everything packed away into the vans so we can all get home and collapse!
Monday
Empty the vans back into the lock up (Phil)
Then sleep for a week :-)
Arrival

We have a reserved staff parking area at the rear of the building, there will be a number code lock on the gate, contact us to get the number on the weekend.
Turn off West Town Lane onto Hither Bath Bridge and the car park will be on the left. Map pin here

Head to the marquee (Tournament HQ) to the reception desk to get your Helpers Wristband for the weekend and check in

Set up your tent if you are camping with us - designated staff camping fenced off by the marquee
what you will be doing
Check the rota to see where you will be working and check in with the Helper Co-ordinator (Agata)
Working out how to cover all the tasks with Helpers offering windows of time is a complicated exercise, so please…..
check the rota and make notes of where you are working and when
let Agata know if you can’t do your assigned slot or will be late, with as much notice as possible
check the task list for floating tasks to see what might need doing
communication
Please get your number added to our Helper WhatsApp group for the weekend
Over the weekend
standing out in the crowd
Please wear your staff wristbands at all times, your helper T-shirt if possible and an armband for the area you are working in, to help the organising bods know who to ask for help when it is really busy.
The armband should reflect the area you are helping in and if you are on a well deserved break, we will leave you alone! Please remember to change it.
When you have been flat out for several hours, we hate asking you to do more, so would rather know if someone is a ‘floating’ resource or taking a well deserved rest and recharge.

Chuck your tent up in the Helper camping area at the end of the marquee
Please help your friends to put theirs up and also the same when taking down on Sunday, especially if they are busy on other tasks
keeping in touch
Please get yourself added to our WhatsApp group for the weekend for the main group and any smaller groups you might be invited to, depending on where you are working
keeping clean
Helper showers are in the gym in the main venue - you need a Helper wristband as these are for helpers and centre staff ONLY, so please don’t let anyone else in.
checking in and out
Please be sure to check in at our Reception desk when you arrive and sign out when you leave every time
Catering
Talk to the Catering Co-ordinator (Ben) if you are hungry, unless there is food out on the tables
If you would like to make and bring anything extra to share with everyone, salads, desserts, cakes etc., then please do, the more the merrier and we do love food!

PLEASE wash up after you are finished
Friday
During the day - flexible timings for food in the marquee - light cold food
Evening - see our Tournament Office Reception for a food voucher for the venue or food stalls for supper/dinner/tea (depending on what you call it 😃)
Saturday
Cereals and toast will be available from as early as we are awake! Help yourself from what is out.
Lunch from 12-30 will be put on the tables
Afternoon tea - cake will be out to refuel us all at 3pm
Evening meal will be at 7.30-8pm and we will sit down to eat together
Drinks
Help yourself to hot and cold drinks from the beverage corner and fridges
We will have a glass of wine with dinner, but please bring your own alcohol or soft drinks that we might not have. We have fridges that can be used to keep them cold. Please put your name on whatever you bring.
Sunday
Cereals and toast will be available from as early as we are awake! Help yourself from what is out.
Lunch from 12-30 will be put on the tables
Afternoon tea - cake will be out to refuel us all at 3pm
Guidelines for the weekend
It will be busy and hectic and we will all be tired at different stages and jolly at others, so please follow these guidelines
Please bear in mind that some of us will start work for the event on Monday before, work through the week and then do Thursday evening through to Sunday evening solidly with about 5 hours sleep a night, followed by pack away on Monday after, we try our hardest to be our happiest selves, but sometimes we just need a nap, a hug or a cuppa!
Kindness
Please be kind to each other, no matter how tired you feel
Everyone has their own life challenges, so spend some time with your volleyball chums asking them how their lives are and what they have been doing, get to know them and catch up
We are all human beings on this planet for a short while, so enjoy the moments together, it’s an amazing weekend to share with each other
Being an Ambassador
You will be given a staff t-shirt for the weekend, once you have this on, you are representing our club and our event, you are a face of the tournament and everything we stand for.
Please be as helpful and kind as you can, regardless of how stressed or bothered you might be and if you are unsure of anything, direct people to the tournament office.
Respect
We are a passionate bunch bringing a tremendous energy to our event and we are very happy to take suggestions to improve everyone’s experience, so if you have thoughts on how things could improve, please make suggestions in the most respectful way you can. There will be a feedback form after the weekend.
Please respect each others values, beliefs and ways of thinking, it’s what makes us such an amazing bunch.
Playing
If teams are short of player, sometimes we can afford for people to help out and play. If you don't have anything scheduled and a team are short, the tournament office might ask you to play. This is done on a rotational basis to ensure it is as fair as possible, so please do not agree to play without speaking to the office so that everyone gets a chance of a game if we can. Playing for a fixed team is not permitted as part of your membership to the club.
